Problems with traditional fundraising packs
As part of our research, we looked closely at fundraising packs provided by charities. We didn’t stop there — we actually organised our own activities using these packs to understand first-hand what it’s really like to be a DIY fundraiser.
Here’s what we discovered:
The Delay
Our first observation was the delay. When we ordered a pack for our coffee morning, our motivation was high — we were already thinking about cakes, biscuits, where to host it, and when. But the pack didn’t arrive for another 11 days. By then, our initial excitement had waned, and what started as an energising idea now felt like another task on the to-do list.
The pressure not to mess it up
When the pack finally arrived, we pulled out the poster and filled in the "what," "when," and "where" sections. There was a surprising amount of pressure to get it right in one go — no second chances if we spelled something wrong, wrote too big, or too small.
Limited resources
We also faced the dilemma of where to put our single poster to get the most visibility. With only one included, we had to make it count.
Once size doesn't fit all
Another thing we noticed was how generic the poster felt. Apart from our handwritten details, nothing about it really shouted “coffee morning.” It was designed as a ‘one-size-fits-all’ option for any fundraising event.
Charity in the dark
Meanwhile, the charity had no idea what we were up to. We’d registered for a pack, but they didn’t know our confirmed details — when the event was happening, how soon to expect donations, or even if it was going ahead at all. They were completely in the dark.
Not meeting expectations
On the day of our coffee morning, we decorated with the bunting and cake flags included in the pack. But there weren’t enough — we could have done with more to make the event feel special and to highlight the charity. There was an order form to request more materials, but we knew they wouldn’t arrive in time.
Unused materials
Finally, we noticed we didn’t use everything included in the pack — sponsorship forms and other printed items went straight into the recycling bin. The charity had no idea what we did or didn’t use.
What if...
We enjoyed hosting our coffee morning, and attendance was okay — some people found us by accident, some saw our poster. But we couldn’t help but wonder: if we’d had more posters earlier on, could we have reached more people and raised more?

- Packs contain materials that might not get used creating waste
- Our solution:
- Reduce waste by allowing them to download and print the materials they need.
Problem 4
- Problem:
- They are limited to the number of items in the pack, 8 cake flags, 1 poster for example
- Our solution:
- They can print as many posters, cake flags and other materials as they need to promote and decorate their activity.
Problem 5
- Problem:
- Most charities have one pack so the materials used are quite generic so they can be used for all activity types.
- Our solution:
- Materials are relevant to the activity taking place, if it’s a coffee morning the bunting, poster, and other materials feature a coffee illustration.
Problem 6
- Problem:
- After the pack has been sent to the fundraiser the charity is not aware of how or what is being used from it.
- Our solution:
- Give the charity visibility of what has been written on the materials and what materials have been downloaded.
